Meeting started at 6:35 pm

New Board Member:

  • Maile Tooter is stepping down as Treasurer. Kimberly Smith stepped in as treasurer. Koda LaMadrid motioned to approve. Jen Mccalley seconded. Vote was approved. 

Budget Review:

  • Due to covid year, we have a smaller budget than previous years which caused us to limit budget items to what we saw as most necessary. Budget dispersed for review. Koda LaMadrid motioned to approve. Erin Vandermeide seconded to approve the budget. Budget passed. 

Teacher Spotlight:

  • Melanie Winters has been teaching for 20+ years. She started at Ladd Acres, and has been teaching at Imlay Elementary School since it started. She is fairly new to 1st grade at our school after almost 20 years with Kindergarten, but she thinks all students need love and respect no matter their age. 
  • She explained the Pax system. It’s a means encourage behaviors that support learning and discourage behaviors that make it hard to learn. An example is hand symbols to let kids know what volume they can use in the class. Ask your kids about it!
  • Open ? How long is kids lunch this year? 20 minutes. Less is more. Kids like to chat so think dense nutrient items so kids have enough time and are filled for the afternoon. 
  • Open ? Are there snacks this year? Due to covid regulations, there are no snacks in the classroom. They get a water and mask break. 

Principal Moment:

  • Jen Mccalley is 4th year principal at Imlay Elementary. She has 10 years experience as a principal, and 20+ years as an educator. 
  • She enjoys having the kids back in the classrooms. She is grateful for our covid compliance.
  • Open ? Once the covid vaccine is available for 5-12 will it be required? That is a decision made at higher levels of government. It is currently not required for any students in HSD.
  • Open ? Are we still doing Nests this year? Sort of. We can’t do as large of groups or mix classes, but our 6th grade leadership team is working on ideas to engage our Nests.
  • Open ? What other events are planned for the PTA? We are open to ideas. October will be pumpkin carving contest and lattes. November will be the book fair and a cider theme. December we’re looking at a caroling event with hot chocolate.

Budget Review:
Can we rollover the website budget to fund the building of a website this summer? It is a professional company, within the same budget and will be up and running this summer. We also want to have the gear store open. Kimberly Smith motions to roll over the website funds into next years funds. Crystal Connors seconds. It passed.
Open Floor: How do we build up our PTA Community?
Have a PTA packet/form to encourage people to attend, tell them all the things we do and have them express their interest? (Principal suggested by Aug.1 to include in back to school letter)
Have a survey to find out the barriers to coming to PTA?
What is our goal as a PTA? Rebuild community.
Social gatherings as a PTA so it’s not always about business and more getting to know you
In person events help connect parents
Room Parents? Teachers have been requesting this support. This would help with engagement through personal invitations to classmate parents.
We’ll meet in person in July/August to discuss these goals for PTA. Interested parents included Kimberly Smith, Becky Takara, Crystal Connors.
Painting Project will be around the 3rd week of July.
Having PTA Park dates by grade for parents to meet and greet. Might have to be arranged over FB informally based on ODE standards.

Approve Previous Meeting Minutes. Linda Seeley motioned to pass. Jennifer Mccalley seconded.
Budget Review:
We have reduced spending a lot this year. We have spent budget on teacher stipends, and teacher appreciation and a little on prizes for the Eagle Walk N’ Roll. We did not fund steam night, carnival, field trips, outdoor school, game nights. Our budget for next year is around $5,000 less than a typical year currently.
Committee Reports:
Eagle Walk N Roll: We brought in $2,960. We spent $200 on prizes. Ms. Glasscock’s class won the appreciation prize. Thank you to Crystal Connor, Linda Seeley, and Kari Dyke for organizing and donating time and prizes. Thank you Mx Morris and Ms Faye for running the virtual platforms.
Teacher Appreciation: We had a Rainbow week with themed gifts. Kimberly Smith organized treats, plants, tumblers, gift cards and Kona Ice.
6th grade celebration: Last year we were not able to do any celebration because of Covid-19. Rules and regulations change daily regarding what’s allowed at the school based on OHA and ODE guidelines based on health levels of Covid-19 infections. Within the district, we are not allowed to host a bigger celebration that what is allowed for the high school seniors. Currently we are allowed to have a party at school with parent volunteers as long as cohorts remain separated. The committee picked Wednesday June 16 in order for all students to participate. Anticipating 10-12 or 11-1 based on transportation. Everyone must wear a mask, and stay socially distanced. There will be 5 cohorts that can not intermingle. Food must be commercially prepared and individually packaged.

Yearbook: Monica Larrabee is looking at tailoring pages. We are not allowed to have spring pictures.
PTA Board Elections:
We did not have any new nominations. So we mostly kept the same positions with Maile Tooter stepping down as Treasurer and Monica shifting into that position. Anita Hansen as President, Koda LaMadrid as Vice President, Carla Tippets as Secretary, Monica Larrabee as Treasurer and Maile Tooter as teaching/mentor treasurer. Kimberly Harrison motions to pass. We are interested in growing PTA attendance in order to increase volunteers and foster community connection at the school. Suggestions Welcome:
In chat: Guest Speakers/Teachers to speak at meetings, social events attached to meetings, changes times, translators.
Principal Report:
We are anticipating going back to school 5 days a week full time in the fall. ODE won’t let us know what it will actually look like until middle of July as far as mask requirements, distancing, cafeteria use etc.
We have been approved for a summer outdoor school opportunity to help supplement lost foundational reading skills. It is by invitation for K-3rd Graders. We are also trying to run supplemental enrichment clubs the last week of July-2nd week of August for 1 hr at a time for K-6. Must follow Ready School Safe Learners guidance.
PLEASE CONTACT Ready School Safe Learners to let them know if after school programs are important to you to encourage including them in their guidelines for next year.

Budget Review:

Committee Reports:
Eagle Walk N Roll. 23 kids have participated. 12 are in Ms. Glasscock’s class. We want to encourage activity participation first and donations if you are able and willing. Everyone who raises $10 will be entered into the prize drawing. The deadline for donations is April 30th.
Teacher Appreciation: Climate and Culture committee wants to do something to show teachers we appreciate them. They tossed out the idea of having a cart of treats for the teachers. Teachers don’t get breaks like they did in a regular year, so Kate Faye offered to do a treat cart for the teachers.
Teacher Appreciation week is the first week of May. Kind notes go a long way! Staff appreciation is also appreciated. We have fantastic front office, cafeteria, janitorial and special services staff.
6th grade celebration. We can have a socially distanced event. There will be some version of a clap out. There are currently 64 6th grade students which is within the cohort limits.
Nominations for next year:
LET US KNOW. We need a treasurer. Other positions are up for grabs as well.
Principal Report:
Everything is going really well. The teachers are working hard and creatively to meet the needs of the students. We are all happy to be back in the building.

Fundraising: Eagle Walk N Roll will be completely virtual. Students can take a picture of what they do (rollerblade, bike, walk, run stairs) and upload to their google classroom. Prizes for participation. There is a donation site that will be live after spring break. [If any parents have prizes to donate contact Crystal Connors]
6th grade celebration: We don’t know how it will be allowed to be celebrated. We have to wait for direction from HSD and ODE. We can’t have volunteers.
Yearbook: Monica has an outline. Asking parents for pictures of how they got through the past year of covid/quarantine. Spring photos have been cancelled.

New Business:
Building School Community: Any needs we can meet as a PTA? Communication to all families?
Imlay School Pantry: Call office to drop off. Distribution will switch to mondays
We are still accepting donations. There is no more fresh food. Also accepting clothing and gas gift cards.

Principal Report:
K-2 returns Mon March 29 Monday, Tuesday, Thursday, Friday.
In person stops at 1, but there are small groups on the computer 30 minutes after until 2:45
3-4 start April 5th, 5-6 start April 12th. Attend M/Th or Tu/Fr based on last name.
There will be a video explaining protocol for return to school.
This week W/Th/Fr is asynchronous for K-2.
Bathroom breaks will be assigned and escorted by teachers. Kids will have a specific bathroom to limit exposure and make contact tracing possible.
Teachers will have microphones to make talking with a mask easy to hear.
No family/parents are allowed into the building.

6th grade celebration: We need parents and ideas to make this happen. Lynn Healy volunteered.

School Spirit Committee: We’d like a group of parents to help make the school feel welcoming
Imlay School Pantry: Food Pantry was filled by generosity over the holidays. Ways that we can still help are with gift cards for clothes because we are not able to donate from the clothing closet. Also as families have to switch jobs and wait on paychecks gas gift cards help families during these challenging transition periods. Call office to drop off or Thurs morning from 9-10

Open Floor:
Questions: Will In-District Transfers be honored if they don’t go to hybrid. Principal Mccalley said they are ok to choose hybrid or CDL.
What is happening with spirit gear? It got linked to PTA bank account and should be up and running soon.
Principal Report:
Are we going back to school? Newest metrics were released today from Harvard. It shifts how many cases in the county are safe to have students on campus. Parents get to choose if your child returns or not for the rest of the school year.
Guideline is based on 2 Metrics: the 2 week average per 100k people. Test positivity metric. To go back to “normal” we would need less than 50 cases per 100k people. If we have between 50 and 200, we would prioritize elementary on site and hybrid for upper grades. Elementary can bring back k-2 if there are less than 350 cases per 100k. Above 350 cases requires CDL.

There have been kids in school since June with a program called LIPI for students who have zero access to the internet. There have been zero covid cases among hundreds of students.
Liability is a factor when bringing kids back to school. We have to follow the governor’s and OHA metrics.
It’s a 5 week roll-out to get kids back into school. We are currently in week 4. The district is working with the teachers union to get kids back. The vaccine roll-out will affect timing as well, governor is planning to have educators vaccinated within 2 weeks of release (which should be Jan 25).
More explanation of what hybrid looks like…
Limited In Person Instruction (LIPI) is going on currently for Title 1 schools. 20 k-2 students are allowed to go for an extra 90 minutes 2 days a week. This is vulnerable students who are basically getting tutoring. LIPI might be allowed to expand to Imlay in the coming weeks.
Transportation is one of the largest issues. Our 84 seat buses can hold about 12 not same household students at the proper social distancing.

Fundraising: Teachers support having a fundraiser, they think it will build community.
Giving Tree: We provided a full “thanksgiving” (some families were culturally specific) meal to 26 families at Imlay. We received 27 gift cards and are able to help 16 families for christmas.
Community Building Committee: Kari Dyke, Anita Hansen, Jen Mccalley, Sarah Keller and Kimberly Smith offered to help. Plan to meet and make plans in January.
Spirit Gear site: Should be up and running in January. We are using the same site as Century and we think masks will be available. We make 15% of sales.
New Business:
Food Pantry: Peanut Butter, Jelly, Canned Goods, Cereal, Bags of Rice. Donations are best on Thursdays from 9-10am.

Open Floor:
We’re looking for prizes for PBIS Assemblies…
Principal Report:
Thankful for the generosity of our community. We were able to use the angel fund to help pay electricity and rent assistance for school members.

Welcome and Introduction

Budget Review:
Maile Tooter reviewed new budget. We’ve removed the $1000 tshirt budget, box tops budget $350, yearbook budget reduced from $1000 to $500.
We are borrowing from Artist in Residence Budget to support building a website for $1000. Alicia Glasscock motions to approve the budget, Koda seconds. Motion passed. `
Jen Mccalley is requesting a one time shift of the STEAM budget ($2000) which will likely not be used this year to fund the food pantry. To drop off donations call the school and they can be received by the office staff.
Carla motions to move $2000 from Steam budget to food pantry. Melanie Winters seconds. Motion passed.
Teachers, Melanie Winters and Alicia Glasscock, requested an increased budget for supplies that would improve teaching at home (i.e. monitor, chair, cords, etc.) Alicia Glasscock suggested we borrow from the Art Supply budget which is typically $1800.
Jen McCalley moves to increase the teacher payment from $200 to $300 from Art Supplies $1800, and Field Trips budget. Koda La Madrid seconds. Motion passed.

New Business:
Looking for committee members to help with fundraisers.
Also looking for ideas for how to improve community involvement.

Principal Report:
Teachers are working really hard to make the transition smooth. We’ve had the highest attendance. It has been overwhelming with fires, pandemic and tech issues… more fun ideas will be forthcoming.

We need them! Highlight the talents that we need, a form with each of the committees
Emphasize that it’s free and what we do. Highlight to teachers why we need them.
It’s helpful to know parents on PTA (the board needs to be more outgoing 😉
Highlight the cool things PTA funds that parents will want for their own kids
Join swag with a membership
Free memberships for each grade (awarded by teacher)
Move to a PTO?
Chalk the sidewalks before school starts. PTA cheer on the students the first day of school. Hold a social distancing popcorn party on the field.
How do we benefit the principal?
Accessibility is a concern. People are concerned about the money issue. Parents want to come, but can’t.
Language barrier needs to be addressed. 29% aren’t native English speakers.
PTA could entice people with dinner or a potluck. We can host one (possibly on school property).

Principal Report:
Next year is going to look different. Might be a good time to rebrand the PTA.
Petitioning state legislature to not cut funding. We’re looking at a huge shortfall and potential 10% cut in teachers.

Support Opportunities
Teachers/Staff: Yard signs were given out to each staff member and a gift card to local establishments.
6th grade support: We’ve been asked not to do more than the seniors. Seniors get a sign with their name. They get a drive up graduation, hop out and take pictures which will be sliced together.
Eagle Walk and Roll: We won’t be able to have groups larger than 250 people. We could end up doing a virtual walk and roll. Crystal asked for help, Koda La Madrid, Linda Seeley, Jackie Hallquist, and Anita Hansen volunteered to be on an Eagle Walk and Roll committee.

Principal Report:
HSD school district will be furloughed starting this Friday through the end of July to save 4.6 million for next school year. We’re in a spending freeze.
We don’t know staffing for next year until the governor releases the budget in July. We’re going to be allotted staffing based on our March numbers.
Imlay amount of students on free/reduced lunch was 30% of students, up 11% in the last 2 years. If anyone has been laid off or has reduced pay encouraged to file with the government for free or reduced lunch to help make sure the state also gets enough funding for health services and other funds.
We won’t be able to do a parade. It is an equity issue to not be able to pass every house and will create a nuisance for police to have some many children out.

Support Opportunities
Teachers/Staff: 64 staff members. We have $2400 available. $37.50 per staff member. A gift card for local businesses, give teachers choice of restaurant or Powell’s gift card. We could do egift card through a google form. Staff yard sign suggested and Principal Mccalley would deliver.
Community Support: Angel fund and backpack program is $1100. Could possibly support the community need for food for the rest of the school year. We had 36 families in need at the end of March. Principal Mccalley said she could distribute.
6th grade support: Drive in Movie celebration. Still get the kids t-shirts, do a “clap out” with the teachers lined up and parents drive parade. We could take $1300 from outdoor school and add it to the 6th grade celebration fund ($1000) as an enhancement proposed by Koda LaMadrid and seconded by Laurie Howell. Motion passed.
Rainy Day Fund for next year since we don’t know what fundraising will look like or if it will be allowed. $23,100 in budgets mentioned above minus 3 support opportunities should leave about $17,330 in the budget for next year.

Would switching to PTO encourage people? We are a PTA because it’s so much work to quit PTA. PTO has to carry it’s own insurance.

Apparel: Need a volunteer to run it. We want a company that parents can order individually from without the PTA having to organize a big order.
PTA rep session with Mike Scott- Anita and Monica are going to discuss what the increase in budget funds will be used for and we can voice our opinion. Options are instruction time, health and safety, reducing class size, and well rounded education.
Open Floor: Battle of the books in 3rd week. We have 21 kids sign up for 6th grade, and only one set of books. Crystal Connors is asking for another $100 for B.O.B.
Jackie Halquist would like to propose an additional purchase of books for 6th grade with the mysterious $100 donation. Laurie Howell seconded the motion.

The Board voted to take $200 out of the professional development fund to support Marcus Arrellano.
PTA Board has concerns about the lack of crossing section across Imlay from the back parking lot. PTA wants to make this a top priority.
There are lots of plans for how to manage the kids getting to school early… allowing VIP parents to go first, then 6th graders will escort Kinders, all children will do a wellness focus in the gym with quiet music.

Principal Report:
Launched Nest Council for 6th graders. Kids had 2 answer 5 short answer questions and get 2 recommendations. 6th graders will do this all year, and 5th graders will be chosen around spring break and be mentored until the end of the year, so they will be ready to lead the meetings in september.
We had a fire drill at 8:45 it was really cold. All the 6th graders donated their coats/sweatshirts to the kinders to help them stay warm. We are proud of our students and Nest Councils.
Our goal is to completely hand off Nest Meetings and PBIS assemblies to 6th graders to run.

We reduced our unexpected behaviors by 62% from last year in the first 4 weeks. The change with Nests and teachers building community are making big improvements.

Kimberly Smith moves to approve minutes with the following amendments; remove Becky Takara, Elizabeth LeMay and Scott and Jacquline Peterson from the attendees list, change the amount of money being reallocated from field trips to Wellness from $500 to $200, change Principal’s McCalley’s spelling of her last name from McCauley to McCalley), seconded by Crystal Connors. Budget Review: The only change was the addition of $19, 500 as income from the Eagle Walk-n-Roll fundraiser.

Committee Reports

Eagle Walk-n-Roll: $19500 income from the event.
Crystal Coonors noted that participation was down from the year that there was a prize party. However, the prize party was time demanding and she would need volunteers to take it over.
Member suggested simplifying the party to just a glo-stick dance party.
Another person suggested that the staff gets involved to increase participation (drink something disgusting)
Crystal would like to pass this event off to a new person. She is willing to stay on another year to train.
Giving Tree: Will be going up before Thanksgiving. There will be an online component.

New Business:
Anita would like to find some parent volunteers to help Monica Larabee find donations to help with diaster preparedness.
Gently used coat drive. Members suggested that this would be a great event for the school. Any interested parties need to connect with Principal McCalley.
Crystal thanked the PTA for the funds to buy books for the Battle of the Books program. The books will go to classroom libraries after the event wraps-ip.

Backpack program has been covered by pacific food donations the last 2 years, so that frees up $500.
In the past 2 years we used $1100 and $1500 of the allotted $2100 budget for field trips. And since there is a lack of bus drivers we anticipate we won’t need the whole field trip budget. We can probably transfer $600 from this budget line.
Money borrowed from one field doesn’t affect how we allocate budget funds next year.
Boxtops will be accepted through their expiration dates. Boxtops will now need to be collected through individual online app. So this $350 budget line will only need about $150 for mailing.
Request for resource listing free money ways for parents to collect money (i.e. boxtops, fred meyer rewards, amazon smile)
Tshirt fund, $1000, we didn’t use any last year because we prepaid for tshirt orders.

Koda wants to help set up a program to recycle gently used/extra school supplies. Northwest Children’s Outreach is willing to take these supplies.
Parking issues. Lots of parents illegally parking. Not enough staff to enforce parking rules.
Suggestion for student crossing guards. Videotape parents crossing and parking illegally as encouragement.
Send out parking allowed diagrams on communication outlets.
Kids with signs/diagrams reminding parents not to cross.

Principal Report:
It is a liability to have kids as crossing guard.
Specialized training on thursday for staff for emergency situations. Jen McCauley McCalley is being trained on search and rescue. Anita Hansen is being trained on medical response and more staff are being trained on immediate counseling, and communication response. Mr. Pruss and McCauley McCalley are both trained nationally for emergency response. They can not share off site meeting site or emergency plans for safety issues.
Tomorrow is the egg nest sorting. First nest meeting is next wednesday. Allows us to form a student council with older grades, and hopefully they will start to run assemblies. #6nestsbutoneimlay
Propose holding a potluck for the teachers during parent teacher conference? They work 12 hour days with 30 min lunch and dinner break.

Lisa Sagapolu requested a Wellness Budget increase to $3000 from $2500. She does apply for grants, but will still need more funds. Funds will go to wellness night, a teacher wellness room, rainy day games for recess, a water filling station at the other end of the school, and after school fitness activities.
We received a bronze level wellness status last year and are hoping to reach silver status this year, while aspiring to gold status next year for our 20th anniversary.
In the past we have done a monthly wellness challenge.

Parent Question: Why was popsicles on the playground disorganized?
A: 50 kindergarteners added, so kindergarten lists were placed rather than clear signs. It was not a meet the teachers because we chose to use the teacher required night for a curriculum night.
Suggestions: Better signs. Principal be accessible. Longer so it’s not so crowded.
Q: Why are classes assigned late?
A: Late registrations caused lots of shifts into the last week.

Principal Report:
$590 million shortfall in Oregon school budget for 2019-2020. HSD would experience a $10.5 million shortfall each of the next 2 years. Following a $64 million budget cut in the last 11 years.
Google “HSD Budget matters”… please contact your legislature mentioning your experience with school, class size, etc. Stable school funding is important. In the last 10 years, 18 instructional days have been cut.
90% of our budget is in staffing.
This is a STATE problem

-Principle is federally trained for emergency prepared.
-We need to address badge system, keep better track, so we know which adults are in the building especially during drop off.
-We are on the bond for a remodeled entrance (in about year and a half) which should help with student safety.
-In Portland, we used 5 gallon emergency toilets in each classroom and also had students parents donate emergency preparedness snacks/water/etc. We could add this to back to school list.
-Concerns about the open windows in the cafeteria… principle is looking at bulletin boards to provide some privacy coverage for students.
-Issue with children arriving early to school and lack of supervision.

Discussion about what focus should be for PTA funds going forward now that STEAM is not our main focus. Ideas generated:

Shauna Edwards reported that she chose a new vendor this year. The design is complete, and a photo was shared of the design. Orders will be exclusively on-line this time. She is not sure about profit margin yet. Design available on four different colors of short sleeve t-shirt as well as a gray sweatshirt.

New Business

Peace Place Supplies

Anita Hansen showed video and explained that each classroom at Imlay will have a “peace place” to support students. This is an area where a student can go to take a quiet moment. Each peace place will have a timer and a student can use the area for a maximum of two five-minute time periods. Anita proposed that the PTA supply $500 to Mrs. McCalley for her to use at her discretion to purchase items for the classroom peace places. Shauna Edwards moved to provide principal with $500 to use for peace place supplies, seconded by Crystal Connors. Motion passed.

Report from Mrs. Boucher and request for PE funds

* Maternity leave in the Spring.

* Exploring possibility of after school sports clubs.

* Exploring possibility of running club, but during recess instead of before school so all students have the opportunity to participate. One day a week during first recess. May need volunteers to help.

* For students arriving before 8am, activities are provided in the gym (dancing, fitness activity).

* Request for pictures of students being active to post in gym.

* Request for funds to replace old/worn out PE supplies. Suggestion was made to ask for parents to donate via newsletter or email to parents. PTA would be willing to entertain covering additional supplies needed.

* Spotify is used for music in PE classes. Mrs. Boucher has been paying for her own account but asked if this is something the PTA could cover. Cost is $45. Shauna Edwards moved to provide $45 for a Spotify account, seconded by Crystal Connors. Motion passed.

Principal’s Report

* Mrs. McCalley reported that she has made a deal with every student that she will remember their name and each student has to remember hers in exchange.

* Thank you to the PTA for a great ice cream social event.

* Communications this year will be via Twitter, Facebook, emailed newsletter including a monthly calendar. Any other ideas, please let her know.

* Suggestion was made to let the parents of students who are being recognized in a PBIS assembly know in advance in case they need to make arrangements to attend.

Plan to ask same vendors again (Trader Joe’s, dj)
Prize Drawing: Idea to have top earners come in to select a prize.
Prize Party: Can only do again with more help planning. If do Friday before Halloween, can do costumes, prizes, parade, etc. Would like to do no food.
Plan on using Giving Tools for online donations again. Shorten the donation time period (1.5 week).
T-shirts with sponsors: No one contacted when advertised and was turned down from those directly contacted. Would like to do some day.
Theme Idea: Walk, Run, Soar—each kid a feather with something that makes them/Imlay soar. Put on wall in shape of wings and kids can get pics in front of it. Could be left up. Each class could do as September community building. Would need template, uniform place for name and maybe a color for each grade level.
Committee Communication: Laurie Howell will be contact for committee chair updates for chairs that cannot make it to the meeting.

New Business
Janet Rabe: Request $5000 line item for STEAM to stay in budget next year (with other grants and district money, brings STEAM budget to about $20,000). This year’s money enabled low student-to-chromebook ratio in 5th and 6th grades, reading materials for science curriculum in 1st grade, and other projects. Garden Week for families over the summer to harvest and weed. Excited about new makerspace/theater in the library.
Prisilla Fisher: Suggests creating line item in budget for yearly “theme” decorations. We could then re-use the decorations for multiple events.
Planning on next year doing a theme each month for PTA meetings (e.g., safety, use of funds, etc.). Themes to be decided at next board meeting. Planning a survey to see what parents/staff interested in. Next year, planning to keep meetings to one hour and encourage more attendance.
Melanie Winters: Concerned about large numbers of tardies/absences in kindergarten—and shows in student performance. Encouraged us to promote good attendance in addition to what school is already doing.

Principal’s Report
Thanks for all PTA does! Fun events at school help create memories for kids. Any problems we notice, people at events typically don’t notice/care.
Testing coming in—about 10%-15% above state and district averages.
This year: Had new math (K-5) and science curriculums.
Next year 2nd Step social/emotional curriculum.
Next year: Bond money will be going to classroom updates (teacher PCs, projectors, audio, etc.)
Bond money used for safety still in planning stage (school entry, window updates, etc.).

Staff Appreciation (Prisilla Fisher): Lots of positive feedback from staff, went over budget by $200 (due to increased vendor costs and additional staff this year). Recommends increasing budget by $200 for next year’s budget.
STEAM (Laurie Howell in for Lynn Healy)
Confusion about where money to pay for PTA part of STEAM Night (removed as a line item from budget this year). Needs to pay for supplies and wants to spend $100-$200 to thank artists who volunteered to help kids create art in cafeteria.
Laura Conley moves to allocate $200 to STEAM Night for thank you gifts for artists and STEAM supplies. Motion passed.
Line item will be added to next year’s budget for STEAM Night. Would like input from Lynn on amount needed.
6th Grade Luau (Prisilla Fisher): Plans in the works, but not finalized. will email parents with information and volunteer sign-ups.
Yearbook (Prisilla Fisher):
Few days before extended deadline for ordering, Prisilla wanted to see a preview of the final product, but using the print ready put the printing process in motion. About 8 orders that were at the extended deadline date will be shipped directly to homes and charged for shipping.
172 yearbooks ordered.
Yearbook purchased for every child in Backpack Program.
Company asked if we wanted to lock in price for next year—undecided.
Prisilla willing to chair next year if she has more people to help with it.

Outdoor Classroom (Prisilla Fisher): Available in a variety of lay-outs and price-points
Extended Fencing (Alano Ciliberto): Improve safety for life skills students who run, prevent balls from going into parking lot, and prevent non-school personnel from entering playground during school hours. Willing to get bid.
Need someone to take the lead for the project and get information.
Anita: Would like to survey parents and staff about what they would really want.

Principal’s Report
Preliminary results from standardized testing coming in.
Academic Seminar is starting to prep for Right Brain artist next year.
Next Year: School starting Second Step program. It is a social/emotional curriculum taught by classroom teachers. It includes anti-bullying components.
Room off of library will be opening up as the district takes out the old computers. Ideas for maker space or stage discussed. Looking for sponsors to help make this a useable space.
Erin’s Law: School is still planning how it will meet this legal requirement.

Budget Review
Maile Tooter-
Approved Field Trip for 4th grade over regular budget (week before April 1st request deadline, where it then becomes first-come, first-serve for remaining field trip funds. Next week was Spring Break and about $1700 was still available).
Check from Chipotle Fundraiser written out to Hillsboro School District instead of PTA, Maile will contact them to get a new check for $548.

Committee Reports
STEAM: Becky Takara has been matting artwork. Need labels from Lynn Healy so she knows what she does and does not have. Suggested that next year ask teachers to print out labels for their class in specific font and size. Extra assistance needed, call out for volunteers. Janet Rabe met with Lynn Healy and everything is moving forward.
Yearbook: Prisilla Fisher: Extended deadline to May 7. Only about 40 ordered so far. Can order afterwards, but family will have to pay for shipping. Teachers are getting list of students in photos to Prisilla
Hillsboro School Foundation Basket (Maile Tooter): Sent a thank you letter to us.
Wellness committee (Lisa Sagapolu): Has been going well. Fruit in staff room, after-school fitness instructor ($180) well liked. Hope to get same instructor next year in Fall and Winter (she did 8 classes for price of 6). Family Fitness Night is cancelled—Mr. Irvine retiring and need more support to pull it off. Would like to get a parent volunteer for next year. Open to ideas for challenges and ways to spend remaining money.
Luau (Prisilla Fisher): Will meet after Yearbook done (May 11)

New Business
Jennifer Rose: PTA started at Brown Middle School. Informal, doing workshops with growth mindset, has Facebook page, email, would like parents to get involved.
Lisa Sagapolu: Requesting $297 for 1st grade Jackson Bottoms Fieldtrip. They asked first after April 1st., so they will get it.

Testing beginning, showed the testing information page. Created movie trailers for each classroom to get them excited to test without pressure of pass/fail.

Technology on the way – 120 Chromebooks are coming as part of the bond. They are showing up.

SBAC testing coming up.

Taking back possibly 40 machines, (Old Computers) so we need to revisit giving them all to students classrooms.

If it’s not a computer lab what could it be…
STEAM Room, ERC, Recording Booth,
Makerspace – open spaces with lots of things available – Have a volunteer or teacher guide.
Different machines, have different projects you can do, Cricut, sewing machine, media maker, engineering stuff… Craft room.

*Lots of things to think about and suggestions are welcome.
Currently there is a lot of technology getting into the students hands and we would hate to have that go away.

The two didn’t cost that much to purchase. $350 for both… if we get a new Snow Cone machine we need a better one that does not freeze up.

From this point on should we be creating the form and be able to follow and be accountable for the money? Or do we just let MR. Irving run with this? He has a $500 allotment.. for the program and the salary for him and Barb…
However.. we are also paying for this because he is not breaking even.

How is this running this year there is some confusion..

Priscilla mentioned her and Laurie had chatted about each grade level maybe doing a theme basket. When / if silent auction is done again. Maybe doing it offsite for a better turnout.

S.T.E.A.M Night is going to be 4/19 – We will Need volunteers for this
Book fair on 4/19 maybe needed – but thinking that this may not happen. Paula thinking it is not worth it for the time it takes to get set up.

New Business:
Sharma Smith would like to purchase additional Science Amplify Books for the 1st grade. – $3300 total is needed
Currently they are all having to share and it is getting difficult between 3 classrooms especially when sometimes using on same days. This will allow them to teach together instead of one at a time and being ahead or behind each other.
Come in sets of 6 – classrooms should have a set of 18 so would like 2 additional sets in total & Teacher books.
They will be used for at least 7 years
Discussed that maybe money could come from the S.T.E.A.M Budget,, we had put aside $5,000 for this. So the money is there.
Mentioned that now all grades may come and ask now each week – suggested that this maybe could be a long term project for the PTA to get sets for other grades each year.

Get a stamp or a sticker made that says “Donated my Imlay PTA” So parents can see.

The last two art projects were amazing! So thankful for how the kids with behavior or attention issues were so focused. Thank you so much for doing projects like the clay and the Egyptian projects.

We need to grab the kinder parents now for volunteer spots How do we do this? Might be too late this year.. but what do we do next year?
An event? Envelopes with Committee’s and check boxes / check list you might be interested? Papers home with everyone the first week. Or maybe even Kinder Assessments.

Becky Takara – We need to get Mike a Gift Card for his amazing work cleaning up after the Eagle Run prize party & all of his previous help. – Agreed upon.

Budget Passed!
Every Classroom is going to have new furniture!! Alano looking at furniture next week. We will be in the second rollout of this phase.
4400 chromebooks were ordered for the school disctrict and we are getting 2 additional chromebook labs = 64
We are also getting new Roof, Cameras, badges, new sound system and projector, (hoping to rotate sound system & projector to lunch room because we already used PTA funds to replace those).
